WANT TO ORGANIZE A GOLD OR GLOBAL GOLD EVENT?
Step 1: CONTACT YOUR ALMA MATER
- To host a GOLD event in your area, sign up at a GOLD event or contact the Austin College Alumni and Parent Relations Office at 1 800.467.6646, 903.813.2383, or email us at alumni@austincollege.edu. Global GOLD events will be held the third Thursday in April in a variety of cities around the world.
- Ask classmates and alumni friends to host with you. The more the merrier.
- Let the Alumni Office know if you have a campus faculty or staff member that you would like to invite as a special guest.
- In many cases, the Alumni Office will send a representative to assist with your event.
Step 2: SELECT YOUR LOCATION
- Once you have confirmed your event with the Alumni Office, select a location. Find a fun restaurant, pub, or bar that will attract young alumni.
- Confirm the date with location management.
- Questions to ask:
- Will they provide separate checks?
- Are the drinks affordable? Is there Happy Hour pricing?
- Is parking adequate?
- Do they have a separate room or area that can be designated for Austin College?
- Is the location easy to find and centrally located for your area?
- Do they have appetizers?
Step 3: SET THE EVENT IN MOTION
- Send the Alumni Office the details with the correct location name, address and time, along with the name of hosts and their class year.
Step 4: SPREAD THE WORD
- The Alumni Office will send emails approximately 2-3 weeks before your GOLD event, with a reminder email 3-5 days before your event.Your event will be listed in the monthly @ac e-newsletter.
- Contact as many friends as possible to personally invite them to attend, then send a reminder before your GOLD event. Consider an e-vite online invitation, www.evite.com, to monitor attendance and share details. You may obtain a confidential list of young alumni in your area from the Alumni and Parent Relations Office to make contact.
- If you know someone who did not receive an e-invitation, please send us updated information so we can update their records. Invitation lists are pulled from regions usually within a 60-mile radius of your host city, so home addresses must be listed in the area to receive an invitation.
Step 5: GREET YOUR GUESTS!
- Arrive early to greet guests. Encourage all guests to sign in and wear a nametag.
- Connect with wait staff to make sure that they understand to separate the checks.
- Post an “Austin College” directional sign at the entrance, if allowed and approved by management.
- Relax and enjoy your evening.
